Step 1: Collect Customer and Supplier Information

Required information includes:

  • Certificate of Origin (C/O) and Certificate of Quality (C/Q)

  • Product catalog or technical specifications

  • Identify any necessary import permits (if applicable), depending on the nature of the goods and Vietnamese import regulations

  • Choose a professional logistics provider (e.g., a freight forwarding company – FWD), as experienced providers can handle unexpected issues efficiently and help reduce overall costs compared to handling it in-house.

Step 2: Complete Documentation and Key Shipment Information

Warehouse check at the origin:

  • Confirm full details regarding product dimensions, weight, and technical standards

Complete shipping documents:

  • Commercial Invoice

  • Packing List

  • Draft Bill of Lading

  • Original certificates such as C/O and C/Q will be provided by the supplier.

Step 4: Receive Arrival Notice and Collect Delivery Order (D/O)

Once the goods arrive at the CFS warehouse in Vietnam, the FWD will receive an arrival notice from the import agent through methods such as email, fax, or phone.

Documents required to collect the Delivery Order (D/O):

  • Bill of Lading (B/L).

  • Introduction letter.

  • Local charges at the Vietnamese port.

Step 5: Customs Clearance for Import Goods

The shipment will go through the customs inspection process, which includes the following channels:

  • Green Channel: Goods are cleared immediately.

  • Yellow Channel: Provide documents for customs inspection.

  • Red Channel: Goods undergo physical inspection and additional checks.

Step 7: Delivery and Finalizing Documentation

The goods are delivered safely to the destination warehouse. The FWD’s responsibility is to settle any remaining fees and hand over the complete set of import documents. The company must retain the records for potential post-clearance audits (if any).
